About our Privacy Policy

This privacy policy will provide a fundamental overview of how E-Agency will collect and make use of personal information.

Basic Principle

Current honorary president and founder of Kyocera, Mr. Kazuo Inamori, has expressed the idea that for an employee to engage in an act of misconduct indicates that there is something wrong with the structure of the company.For example, if an employee is found to be committing an act of misconduct such as manipulating account figures, accepting bribes, or passing personal information to third parties, it shows that there are no mechanisms within the organization to check for those sorts of infringements, which is a much bigger problem. We strongly agree with this sentiment.There is a need for the company itself to have a systems that prevents these acts of misconduct from taking place, helping to protect both the company and its employees. In this age of digital networking, the handling of personal customer information is becoming a matter of increasing importance. The handling and protection of this personal information is already looked upon as the responsibility of the company, and is an important matter for customers who are entrusting us with their business. We believe that everyone from executives to company employees should strive to deepen their understanding of personal information and emulate the ideas of Mr. Inamori by creating and effectively managing a function to properly manage and protect personal information.We have formed our policy as stated below based on the above-mentioned concepts.

1. Compliance with Rules & Regulations

When handling personal information (this refers to information that can be used to identify an individual and does so throughout this policy), our company will follow the policies set out in this document alongside regulations already stipulated in law and obligations that have been set out in the guidelines from the relevant authorities.

D) Materials for Advertisement & Promotion Services on Our Company’s Website and Competition Entries

  • For the supply of information regarding potential clients to advertisement sponsors

H) Client Information Collected through Web Solution Services

I) Personal Information of Company Partners & Clients

  • For the conduction of all business affairs

  • For processing incoming orders

J) Employee & Retired Employee Personal Information

  • For labor management and the payment of salaries, bonuses, etc.
  • For communication purposes

K) Employee Recruitment

  • For candidate screening and communication and notification purposes
  • For consideration in future recruitment activities
  • For the formation of a basic personnel file after confirmation of employment

L) Personal Information Collected and Accumulated by Product Contractors through this Service

  • For the purpose of allowing product contractors to view, edit, and delete the personal information they have gathered via their products and the distribution of mail etc.

In the case that its necessary to use personal information in any case other than those stated above we will ask for your consent to use your personal information unless we have already obtained permission or we are legally required by law to disclose it.

3. Joint Usage of Personal Information

We will sometimes use your personal information (limited to what has been collected for the purposes stated in A-F under “Use of Personal Information”) jointly with other companies.

For e-mail regarding our company’s products, and services as well as information about upcoming events such as seminars and business activities.

B) Shared Information & Data Types

Items such as names, e-mail addresses and other necessary information for the implementation of article A that have been collected in sections A-F of the “Use of Personal Information” section.

4. Distribution to Third Parties

Our company will not disclose your personal information to third parties unless we have obtained permission beforehand or are required by law to disclose the information.

However, there are circumstances where the handling of personal information is outsourced to another company. In that case, the subcontractor will have been chosen through strict selection criteria and has been contracted to uphold strict safety standards with a duty of confidentiality.

5. Management of Personal Information

Our company handles your personal information safely and accurately and strives to prevent unauthorized access, loss, destruction, alteration, or leakage of any such information.

6. Internal Systems & Continuous Improvement

For our company to appropriately handle your information we have appointed a personal information manager, maintain internal regulations, and provide executive and staff training, as well as implementing suitable internal audits so that we can strive to continuously strengthen and improve our internal systems, including the continuous review of this privacy policy.

7. Collection and Handling of Personal Information via the Website

Our company implements cookies, web beacons, and other similar technologies to analyze web traffic and customize the website to further suit the needs of each individual user.

Cookies and web beacons record all information anonymously for statistical analysis, however there are some cases where identifiable information is collected and applied to our web service users to supply a further customized service.

A) When Browsing the Website

Depending on your personal browser settings you can switch off cookies and other similar data collection functions which will disable the related item function which uses information collected from cookies and similar tools. There are some cases where this will cause you to be unable to purchase products and services through the website.

B) When Receiving E-mail

In order to further improve the management of our website and provide information on our business activities, our company makes use of web beacons in HTML-based e-mail. Upon reading the e-mail, information such as whether the e-mail has been previewed or opened, which images were clicked on and what text was viewed, will be recorded as identifiable information. If you do not wish for this information to be recorded, please begin the procedure to cancel further e-mails.

8. Inquiries Regarding the Disclosure, Amendments, Complaints, and Discussion Surrounding the Handling of Personal Information

For all inquiries pertaining to disclosure requests, data correction, cessation of use, complaints, and other discussion over the handling of personal information please contact “Personal Information Inquiries” below. When contacting us we will deal with your query upon confirming your identity.

We will not return any resumes received as part of our recruitment process, even after rejection. After a fixed period of time these resumes will be disposed of in accordance with our company’s personal information disposal policy (unless the resumes are received via a recruitment company, in which case it will be handled according to both company’s regulations.)

9. Discretion of Provision of Personal Information

While all personal information is supplied at the discretion of the user, please acknowledge that if we are not provided with some information it may be the case that we cannot provide adequate responses.
